PURPOSE OF THE JOB
- To provide full administrative support service to the Regional team.
- To assist the Regional Manager in a range of administrative functions and projects relating the department.
DUTIES AND RESPONSIBILITIES
- To provide full administrative support to members of the Regional team.
-To efficiently and professionally process telephone, email and/or post enquiries.
- To assist in the development, implementation and maintenance of IT and/or manual solutions to aid the administration of the department.
- To maintain and update the departmental databases as and when required.
- To produce general correspondences as required.
- To take meeting minutes and distribute.
- To provide a professional reception service for visitors to the office.
- To take messages and pass on information when members of the team are out of the office.
- To assist, where appropriate, in making travel arrangements, including booking flights, trains and accommodation on behalf of members of the team.
- To support the implementation of organisational change including structural, cultural and/or business planning changes.
- To research and provide statistical information as and when directed by the Regional Manager or member of the senior management team.
- To report any unresolved issue/s to line manager in a timely manner.
- To be proactive and committed to an ongoing programme of professional self-development.
- To work and liaise closely with other Associates within the same and other departments to develop effective systems and good practice within.
- To assist where required, in the training of new Associates.
- To work with, abide by and positively promote all of our clients policies and/or procedures including but not limited to, health and safety matters.
- To ensure effective communication within the team.
- To participate in working parties as required by the Regional Manager and work within project teams as and when required.
- To attend supervision, training and meetings. There may be a necessity for these to be outside of normal working times, including evenings and weekend and may require travel within the UK and/or overseas.
- To maintain confidentiality at all times in accordance with data protection and privacy legislation.
- To carry out all reasonable duties as and when requested by line manager or
any other senior management member.
