- Main Duties:
* Receive Calls, log into Service Director and allocate call out to Engineers.
* Organize the dispatch of parts requested to Engineers as required.
* Liaise with Engineers re progress of calls, close when completed and raise any necessary invoices.
* Ensure all stock consumed by Engineers for calls and new installations are correctly removed from stock by invoice or stock adjustment.
* Allocate Preventative Maintenance calls to Engineers.
* Liaise with Engineers and Regional Service Managers to ensure site equipment lists are set up and kept up to date in Service Director.
* Liaise with Purchasing and Logistics to ensure prompt delivery of customer orders and sufficient parts are available for servicing.
* Liaise with Credit Control re invoice queries settlement of invoices and order processing.
* Raise any credit notes arising from above.
* Maintain accurate Service Contract Database using Service Director software
* Raise contract renewal invoices as they fall due ensuring accuracy of data.
* Set up new contracts on Service Director and prepare documentation for customer.
* Communicate with Regional Service Managers regarding Contract renewals and invoicing.
* Process customer orders for consumable and spare parts, raise dispatch notes and invoice.
* Update and maintain schedules of contracts for calculating deferred income and contract income forecast.
* Assist Access Automation team as required.
* Take responsibility for developing the role to ensure accuracy and completeness of data and maintain control of company resources.
* Comply at all times with company policies and procedures.
* Support the company in its maintenance of quality standards.
* Promote and protect the company's image and good reputation at all times.
* Fulfil any other duties and responsibilities, after consultation, that may be determined from time to time.
