Description
Our client are the independent promotional verification service. Based in Pinner, we ensure that consumer promotions are run fairly and legally. So we pick winners of prize draws, judge competitions and oversee the live voting for TV shows. Our clients are either marketing agencies or major international brands. Due to our continued growth, we are seeking an experienced Senior Project Manager who has operated in a client servicing environment, to plan and execute client projects.

Role Purpose:

To manage a large number of allocated prize promotion projects concurrently, varying in complexity and duration, from conception through planning and documenting processes to delivery, in order to meet agreed client's needs and keep consumers happy. Work within a Client Cluster team alongside Client Relationship Managers to support them in achieving the Cluster sales targets.

Duties:

*Work with Cluster Client Relationship Team to help define and scope deliverables for new projects including estimating associated costs and resources required

*Support with key client development plans with the Client Relationship Managers

*Analyse and interpret briefs outlining general requirements to produce tailored, detailed operational instructions including monitoring systems

*Draft project implementation plans / Client Facing Schedules, operating instructions and associated communication documents for planning and scheduling timelines as well as recording and monitoring service delivery

*Conduct a risk assessment for all major projects and agree details with Senior Management

*Identify project strengths and weaknesses / lessons learnt and share with colleagues. Use to develop and enhance future working methods

*Selection, briefing and ongoing liaison with suppliers such as fulfilment houses, printers staffing agencies

*Work with key contacts at the client to gain their agreement to the project implementation plans and liaise on a regular basis ensuring they keep to both timing and budget plans. Escalating and acting on variances to the plan

*Direct line manage and mentor allocated staff to maximum effect both on joint venture projects but also on standalone projects for each Project Exec/Coordinator/Manager

*Follow and enhance company procedures

*Where necessary, brief work to Project Managers / Coordinators / Executives and monitor their progress in delivering the project

*Co-ordinate and monitor the data management and administration of projects, tracking and recording activity and financial information, highlighting and resolving any issues that arise

*Personally undertake judging, winner selection or verification of systems as required and sign off the work of Project Execs / Coordinators / Managers

*Occasionally act as an auditor with off-site (including abroad) visits to supervise print / production activities or live judging sessions

*Full and role model use of all company systems e.g. the job reporting CRM tool to record all relevant activity

*General administration duties as required across the business, so a fair degree of flexibility is necessary


Skills and personal attributes

Excellent customer service skills. Able to maintain positive working relationships with colleagues and clients

Highly organised with exceptional time management skills: proactive and able to work effectively to tight deadlines in an environment where change is inevitable across a high volume of different projects

Excellent written & verbal communication skills including ability to communicate at all levels including briefing colleagues and high-level client liaison

Able to absorb and apply general promotional compliance techniques to provide a tailored, considered approach to briefs/challenges

Able to think things through analytically, identify gaps and possible solutions

Excellent IT skills, including Microsoft Excel, Word and Outlook

Confident in developing written procedures that whilst thorough are clear and easy to understand and removing complexity

Numerate and commercially minded - income and cost aware. Able to spot opportunities to enhance income during the planning and delivery of client projects including purchasing of goods and services

Excellent attention to detail. Structured and methodical in approach to work and process aware

Ability to work under pressure

Flexible and adaptable; willing to do whatever's required to get the job done
